Designed to support both in-person governance and remote participation, the East Gull Lake conference space is a purpose-built boardroom that blends professional audio, video, and control systems into a seamless meeting environment. Digital Horizons was brought in to create a reliable, easy-to-use solution that could accommodate structured board meetings while also supporting flexible presentation needs for guests and staff.

At the center of the room is a nine-position layout, anchored by a primary dais with dedicated microphones for five board members, along with additional microphone positions on either side. This configuration ensures that every participant—whether seated at the dais or contributing from the side tables—can be clearly heard. Audio is carefully managed through a digital signal processor, allowing all microphone inputs to be mixed, balanced, and distributed effectively throughout the space.

To maximize clarity and reduce feedback, the audio system was designed with dual-zone reinforcement. One channel of speakers is positioned above the dais, while a second channel serves the audience area. This separation allows for more precise tuning and ensures consistent sound coverage, whether the room is hosting a formal board meeting or a larger public session. The result is clear, intelligible audio in every seat without the distractions of echo or feedback.

The video system was built with flexibility in mind. Multiple input locations—including two in-floor connection points with HDMI and microphone access—allow presenters to position a podium where it’s most effective for the meeting. A dedicated computer, housed remotely in an equipment rack, drives the system and connects to dual monitors at the presenter’s desk. Wireless keyboard and mouse control provide full access to the system without cluttering the workspace.

For hybrid meetings, the space is equipped with dual PTZ cameras and integrated video conferencing capabilities. Preset camera positions ensure smooth transitions between views of the dais, presenters, and the room as a whole. All audio—whether from microphones or program sources—is processed and routed both to in-room speakers and to remote participants via platforms like Zoom or Microsoft Teams. This ensures that those joining remotely experience the meeting with the same clarity as those in the room.

All system components are centrally located in a dedicated equipment rack, keeping the room clean and organized while allowing for easy service and future expansion. The East Gull Lake conference space now delivers a professional, dependable environment for decision-making, collaboration, and public engagement—where technology works quietly in the background to support every conversation.
